Introduction
This document explains how Complete Sports Ltd processes your personal data from collection to deletion, or it being destroyed. It is written for anyone who is making an enquiry about one of Complete Sports Ltd services or making a booking for a camp or club.

In data protection terms, Complete Sports Ltd is a data controller as we determine the purposes and the use of the personal data we collect. Once received, it becomes the responsibility of Complete Sports Ltd to ensure that it is processed in line with UK legislation. Data we use
The personal data processed by Complete Sports Ltd will only be that which is essential to complete a booking such as names, gender, DOB, medical info/medication, addresses, emergency contact numbers and an email address. Complete Sports Ltd will also collect minimal financial details for the purposes of locating payments for bookings. In order to respond to an enquiry it will be basic such as name, email, contact number. We collect or receive your personal data directly from you when you book a provision or make your initial enquiry.
Confidentiality
Complete Sports Ltd duty of confidentiality means that all staff will treat personal data in confidence. Access to data is strictly limited to staff who need it. Complete Sports Ltd expects the same level of confidentiality from all third parties with whom we need to share your personal data in order to fulfil our contractual obligations to you.
When we will process data

Where is data held
Complete Sports Ltd will process your personal data at its UK head office and utilises Microsoft business services for back up services. When booking through the class4kids system, they will hold data.
How long is it held
Complete Sports Ltd holds different types of personal date for different periods of time, outlined below:
- If you are a customer or have been a customer previously, we will keep the details of your booking, including your contact details, indefinitely, unless you ask us to delete the data. If we don’t have another over-riding legal reason for processing data, we will complete your request.
- Financial records and invoices, which include your personal data, will be kept for 6 years after the end of the current tax year of processing.
As an exception, documents which include your personal data may be retained by Complete Sports Ltd beyond the above dates, but only for a specific reason and only when Complete Sports Ltd believes there is a legitimate interest or legal obligation to do so. None the above affects your rights under the UK GDPR.
At the end of the holding period, or if requested by the customer, Complete Sports Ltd will either return, destroy/delete your personal data.

Takeovers & Acquisitions
In a takeover, acquisition or similar, the personal data Complete Sports Ltd holds will form part of the assets of to be taken over by any new company. It will only be used for the same or similar purposes. You will be notified using the latest contact details held for you should this be the case.
